ValonEdit – Photography Terms & Conditions (Updated 3rd September 2025)

By booking ValonEdit, you (the Client) agree to the following Terms & Conditions set out by Avalon Priestley, operating as a sole photographer under ValonEdit.

1. Booking & Payment

• A non-refundable deposit is required to secure your booking:

o Full Day Package – 20% deposit

o Half Day Package – 20% deposit

o Micro Packages – payment must be made in full at the time of booking

• The remaining balance must be paid in full no later than 4 weeks prior to the event. Failure to do so may result in cancellation without refund.

• Payment confirms agreement to these Terms & Conditions.

2. Photographic Style & Liability

• ValonEdit is primarily a candid photographer, focusing on natural and authentic moments.

• Unless clearly agreed prior to the event, ValonEdit will not be liable for missed or undesired shots.

• It is the couple’s responsibility to gather the correct people for group or specific shots. The photographer will assist with positioning but is not responsible for missing individuals.

• Images are edited in a cinematic, vintage, grain-style. Any dissatisfaction with the editing style is not considered a failure to fulfil obligations.

3. Changes to Venue, Time, or Circumstances

• The Client must notify ValonEdit of any changes to venue, time, or significant circumstances at least 1 month prior to the event.

• If such changes result in ValonEdit being unable to fulfil the booking, the Client accepts that all money paid is non-refundable and that it is the Client’s responsibility to secure an alternative photographer.

4. Image Rights & Usage

• Final images will be professionally edited and delivered in high-resolution JPEG format.

• RAW files will not be provided under any circumstances.

• Copyright is jointly held by ValonEdit and the couple.

• ValonEdit may use images for portfolio, website, social media, and promotional purposes.

• Venues, suppliers, or third parties wishing to use images must request permission and provide clear credit to ValonEdit.

5. Content Creation

• Any additional content creation (e.g. videos, short-form edits) provided by ValonEdit has no guaranteed delivery limit or duration, but every effort will be made to meet a fair and respectable request.

• Content creation may involve the use of external applications such as CapCut, Splice, TikTok, and DJI software.

• Styles, filters, and formats are applied at the photographer’s discretion to align with the ValonEdit creative style.

6. Travel Costs

• Travel expenses will be calculated closer to the event date using AA mileage rates, based on distance from the photographer’s location.

• Travel costs will not exceed £50 and will be added to the final invoice if applicable.

7. Delivery of Images

• Final edited images will be delivered within 3 weeks of the event date via private online gallery or USB (as agreed).

• Wedding galleries will remain available for 90 days after delivery. After this time, the gallery will expire, and it is strongly recommended that Clients download and back up all images promptly.

8. Meals, Breaks & Health

• If meals are being provided at the event, a meal must be supplied for the photographer unless agreed otherwise in writing.

• For health and safety reasons, the photographer may need to take short breaks throughout the day to maintain energy, focus, and physical health. These breaks do not affect coverage or service quality and are essential to prevent injury or fatigue.

9. Cancellations, Refunds & Postponements

• All payments made are strictly non-refundable under any circumstances, including but not limited to: illness, injury, bereavement, separation, or change of mind.

• If the couple separates or cancels after booking, all money paid remains non-refundable.

• Weddings may be rebooked for a new date if available, however this cannot be guaranteed. If a new date cannot be accommodated, any amount paid excluding the deposit may be refunded at the discretion of ValonEdit.

10. Force Majeure

• In the event of circumstances beyond control (e.g. illness, accident, natural disaster, equipment failure, or other force majeure events), ValonEdit is not liable for delays or non-performance.

• In such cases, ValonEdit will make reasonable efforts to provide a trusted replacement photographer or refund payments for services not completed, excluding the deposit.
